Ops Machine is a Montreal consulting practice. This page explains what personal information we hold, why, where it goes, and how to see or correct it. It is written to meet Quebec’s Act respecting the protection of personal information in the private sector (Law 25) and Canada’s PIPEDA.

Who is responsible

Mitch Schwartz is the person in charge of the protection of personal information at Ops Machine. Contact: privacy@opsmachine.co

What we collect

  • When you contact us or work with us: your name, email, phone, company, role, and what you tell us by email, in meetings, or through the contact form.
  • Booking a call: your name, email and the time you choose, through SavvyCal.
  • Meetings: if we record a call, you are notified before or at the start. Recordings and transcripts are kept to remember what was discussed and agreed.
  • Newsletter: your email address, if you sign up, through MailerLite.
  • Website visits: Google Analytics and Microsoft Clarity record pages visited, clicks, device type and approximate location, using cookies. Cloudflare Turnstile checks that contact form submissions come from a person. We do not use these tools to identify you.

Why we use it

To reply to you, deliver work, keep track of our relationship, send the newsletter you asked for, and understand how the website is used. We do not sell personal information, and we do not use it to make automated decisions about you.

AI tools

We use AI assistants to help read and draft email, prepare for meetings, and keep notes up to date:

  • Google Gemini, inside our Google Workspace account, under Google’s business data protection terms. Google does not use this data to train its models.
  • Claude by Anthropic. Your messages and meeting transcripts may be processed by Anthropic in the United States, under Anthropic’s privacy policy. We have turned off the use of our conversations for model training.

We keep health, financial and other sensitive personal information out of these tools where we can. A person at Ops Machine reviews anything sent on our behalf.

By continuing to correspond with us, you consent to this. If you would prefer your correspondence not be processed by AI tools, email privacy@opsmachine.co and we will exclude it, with no effect on our work together.

Service providers and data outside Quebec

We rely on service providers to run the business, in these categories: email and documents, AI assistance, video calls and meeting recording, client records, workflow automation, scheduling, newsletter and email delivery, website hosting and statistics, and accounting. Most of them store or process information outside Quebec, including in the United States, where it may be subject to local law. Before using a provider outside Quebec, we assess the protection it offers.

How long we keep it

As long as we have a working relationship with you, and after that as long as tax and legal record-keeping requires. Then we delete it.

Your rights

You can ask to:

  • see the personal information we hold about you,
  • correct it if it is wrong or incomplete,
  • withdraw consent where we relied on it (for example, the newsletter),
  • have your correspondence excluded from AI processing,
  • have your information deleted when we no longer need it.

Email privacy@opsmachine.co. We reply within 30 days. If you are not satisfied with our answer, you can contact the Commission d’accès à l’information du Québec.

Security incidents

If a breach of your information creates a risk of serious harm, we will tell you and the Commission d’accès à l’information.

Changes

We will update the date at the top when this policy changes.
